Data Privacy Notice for Parents
We are committed to protecting your personal data and your child's personal data in compliance with the UK GDPR and Data Protection Act 2018.
What Data We Collect
- Child's name, date of birth, address, medical information, dietary requirements, attendance records, learning and development assessments, safeguarding information
- Parent/Carer names, addresses, contact details, emergency contacts, financial information (for fees/funding)
- CCTV footage and visitor records (if used)
Why We Collect It
- Support your child's learning and development
- Keep your child safe and healthy
- Contact you in emergencies
- Claim funding (e.g., 15/30 hours)
- Meet legal and safeguarding requirements
Who We Share It With
- With you, about your own child
- With schools or other childcare providers (with consent)
- With the local authority, Ofsted, or health professionals
- With emergency services if required
- We will never sell or share your information for marketing purposes
How We Keep It Safe
- Paper records are stored securely
- Electronic data is password protected
- Access is limited to authorised staff only
How Long We Keep It
- Children's records are kept until age 21 (or 24 if safeguarding involved)
- Staff records are kept 6 years after employment ends
- Accident/incident reports are kept for statutory periods depending on type
- After this time, records are securely destroyed
Your Rights
- See the information we hold about you or your child
- Ask us to correct mistakes
- Ask us to delete information (where legally possible)
- Make a complaint to the ICO if you are unhappy with how we handle your data
